AI Assistants vs Virtual Assistant

Can AI Replace A Virtual PA?

For some of it, yes. AI is genuinely good at drafting, summarising, research and first passes at almost anything written. If you are not using it for those things you are making your week harder than it needs to be.

What AI does not do is take responsibility. It will not notice that the client who has gone quiet is the one worth chasing, it will not read the room on a difficult call, and it will not pick up the phone and be a person your customer is glad to speak to. A PA does all of that, and uses AI to get through the rest faster.

AI on its own or a Mi PA PA, side by side

The things buyers ask us about most often, answered straight.

What you are weighing up AI on its own A Mi PA PA
Drafting and summarising Fast and good. Fast and good, because your PA uses AI too.
Answering your phone Callers can tell, and most do not like it. A real person your customers assume works for you.
Knowing what matters today Only what you tell it, every time. Learns your goals and works out the priority.
Chasing and following up Only if you build and maintain the automation. Just happens.
Judgement on a sensitive issue No. Yes.
Accountability when it goes wrong None. A named person and a business behind them.

Mi PA has answered calls and run diaries for UK business owners since 2008. We support over 500 businesses from our Salford office.

What we would tell you to use AI for

Use it for first drafts, for summarising long documents, for research you would otherwise put off, and for turning a messy set of notes into something readable.

It is very good at all of that and it costs you almost nothing. We are not going to pretend otherwise to sell you a person.

I was so impressed how professional the team were when they answered the call, everyone else I called seemed to be in a rush.

Where it falls over

AI does what you ask. That sounds like a feature until you realise the whole problem is that you do not have time to ask. Somebody still has to decide what needs doing, notice what has been missed and chase the things that have gone quiet. That deciding and noticing is most of what a good PA actually does, and it is the part that is still stubbornly human.

There is also the bit nobody enjoys talking about. When an automated system mishandles a customer, there is nobody to say sorry and put it right.

Use both, in the right places

The businesses getting the most out of this are not choosing. They use AI for the drafting and the summarising, and a person for the phone, the follow up and the judgement calls.

That is how we work too. Your PA is not competing with the tools. They are using them so that more of their time goes on the things only a person can do.

Common questions

Can AI replace a virtual assistant?

It can replace parts of the job. Drafting, summarising and research are all handled well by AI. Deciding what matters, following things up, handling a difficult conversation and answering your phone as a person are not.

Callers usually know. For simple, transactional calls an automated system can be adequate. For anything where the caller is a prospect, a complaint or in a hurry, a real person answering properly is the difference between keeping that business and losing it.

The tools cost very little. The time you spend prompting, checking and correcting them is the real cost, and for most business owners that time is the thing they were trying to buy back in the first place.
